1. Who we are

2. Data we collect
We collect account and identity information supplied through our authentication provider, including your name, email address and account identifier. We also collect the assessments, scores, comments, evidence, files, review memberships and other content you submit; records of consent and administrative actions; communications with us; and technical information needed to operate and secure the service, such as device, browser, IP-address, request and error data.
3. How we use your data
We use personal data to provide accounts and the screening, collaboration and reporting features you request; authenticate users; manage invitations, permissions and workspaces; generate requested AI-assisted commentary; send service messages; answer support requests; keep audit records; prevent misuse; maintain security; and improve reliability. We process this data as necessary to perform our contract with you, to pursue our legitimate interests in operating and securing ClubQuire, to comply with legal obligations, and, where applicable, on the basis of your consent.
4. Sharing & sub-processors
We share personal data with authorised members of your workspace and review panels as needed for collaboration. We also use service providers for hosting, authentication, AI processing and transactional email. They may process data only to provide their services to us and under applicable contractual safeguards. Our current providers are listed on the Sub-processor List. We may also disclose data where required by law, to protect rights or security, or in connection with a corporate transaction.
5. International transfers
Our providers may process personal data in countries outside the country where you live. Where a transfer requires additional protection, we rely on an adequacy decision, approved standard contractual clauses, or another lawful transfer mechanism, together with supplementary safeguards where appropriate.
6. Data retention
We retain account and workspace data while your account is active and for as long as needed to provide the service. If you request deletion, we delete or anonymise personal data unless we must retain limited records for legal, security, fraud-prevention or dispute-resolution purposes. Backup copies are removed through our normal backup cycle. Retention periods depend on the type of record, the purpose for which it was collected and applicable legal requirements.
7. Your rights
Depending on where you live, you may have rights to access, correct, delete, restrict or receive a copy of your personal data, and to object to certain processing or withdraw consent. You can use the export and deletion tools in Settings → Privacy & your data, or email us. We may need to verify your identity before acting on a request. You may also complain to the data-protection authority where you live or work.
8. Changes to this policy
We may update this policy as ClubQuire or legal requirements change. We will update the version and date shown on this page. For material changes, we will provide notice through the service or by email where appropriate.
